Planning Guides
Valet parking planning guides and tips.
Whether you're planning a wedding, organizing a corporate event, or evaluating valet service for your business, these guides will help you make informed decisions. Everything here comes from 30+ years of hands-on experience managing parking across Silicon Valley, the Bay Area, and Los Angeles.
Weddings
How to plan parking for your wedding.
Parking is one of the most overlooked details in wedding planning, and one of the first things guests notice. A smooth arrival sets the tone for the entire celebration. Here's what to consider:
Start with your venue. Estate weddings in Woodside or Atherton often have long driveways and limited turnaround space. Winery weddings at Mountain Winery or Testarossa may have hillside lots with narrow access. Urban venues in San Francisco or Los Angeles come with street parking restrictions. Each scenario needs a different plan.
Match staffing to your guest count. A good rule of thumb is one valet per 15-20 expected vehicles. For a 150-guest wedding, plan for 4-5 valets. If your ceremony and reception are at different locations, you may need teams at both venues.
Book early during peak season. May through October is wedding season in the Bay Area. Book your valet service 4-6 weeks in advance during this window. Off-season weddings can often be confirmed in 2-3 weeks.
Consider a shuttle option. If your venue has limited on-site parking, a shuttle loop from a nearby lot keeps things running smoothly and eliminates overflow on neighborhood streets.

Pricing
What does valet parking cost?
Valet parking pricing depends on several factors, and there's no single number that applies to every event. Here's what goes into the cost:
Event size and duration. A two-hour cocktail reception needs fewer staff hours than a six-hour wedding with a ceremony and reception. Larger events require more valets, equipment, and coordination.
Location and venue complexity. Venues with easy lot access cost less to staff than hillside estates, multi-level garages, or locations that require shuttle loops to remote parking areas.
Additional services. Basic valet parking is the starting point. Shuttles, lot management, directional staffing, and doormen each add to the plan and the cost.
What's included in our quotes. Our pricing is all-inclusive. That means staff, equipment, insurance, site assessment, and day-of coordination. No surprise fees. If you're organizing an event for a charity or nonprofit, we offer a discounted rate.

Corporate Events
Corporate event parking checklist.
Corporate events have unique parking demands: tight schedules, VIP arrivals, ADA compliance, and the expectation of a polished first impression. Here's what to plan for:
6-8 weeks out: Confirm venue, estimate headcount, and book your valet service.
4 weeks out: Finalize guest count and identify VIP arrival needs. Coordinate with venue on access points and restrictions.
2 weeks out: Confirm ADA parking provisions, signage locations, and emergency vehicle access.
1 week out: Review the parking plan with your valet company and event coordinator. Confirm timing for staff arrival.
Day of: Valet team arrives early for setup. Coordinate with security, caterers, and your event lead on arrival timing.
Hiring Tips
How to choose a valet parking company.
Not all valet companies are the same. Before you hire, ask these questions:
Are you fully insured? You want commercial liability coverage that protects your guests' vehicles. Ask for proof of insurance, not just a verbal confirmation.
Do you background check your staff? Your valets are handling expensive vehicles and interacting with your guests. Background checks, drug screening, and driving record verification should be standard.
What equipment do you provide? A professional valet company brings their own podiums, key lockboxes, signage, cones, radios, and lighting. You shouldn't have to supply any of it.
Do you visit the site before the event? Companies that give you a price without seeing the venue are guessing. A site visit is how you get an accurate plan and avoid surprises.
What's your guarantee? Ask if they stand behind their service. At All About Parking, our staff will be on time for your event. If they aren't, you receive a 50% discount on your fee. We've never had to pay it.
Avoid These Pitfalls
Common event parking mistakes.
After 30+ years of managing parking for thousands of events, we've seen every parking problem there is. Here are the most common mistakes and how to avoid them.
Underestimating headcount
Plan for the maximum number of guests, not the average. If 200 people RSVP, plan valet staffing for 200 vehicles, not 150.
Ignoring ADA requirements
Every event needs accessible parking and drop-off areas. ADA compliance isn't optional, and your valet team should be trained to assist guests with mobility needs.
No backup plan for weather
Outdoor events need a rain contingency. Where will valets stage? How will you handle muddy lots? A professional valet company plans for this.
Insufficient signage
Guests who can't find the valet station get frustrated before the event starts. Clear directional signage from the street to the drop-off point is essential.
Booking too late
Peak season (May through October) fills up fast. Booking 4-6 weeks ahead for large events or wedding season ensures you get the team and timing you need.
Choosing on price alone
The cheapest valet company may cut corners on insurance, background checks, or staffing. Ask about credentials and guarantees before comparing cost.
Common Questions
Frequently asked questions.
How much does valet parking cost for an event?
Pricing varies based on event size, duration, location, and staffing needs. Most events range from a few hundred dollars for a small private party to several thousand for large-scale galas. We provide a free, all-inclusive quote within 24 hours with no hidden fees.
How far in advance should I book valet parking?
We recommend 2-4 weeks for most events. For large events over 500 guests or during peak wedding season (May through October), 4-6 weeks advance notice helps ensure availability.
What is included in your valet parking quote?
Our all-inclusive quotes cover a site assessment, traffic planning, professional uniformed staff, all equipment (podiums, key lockboxes, signage, cones, radios, and lighting), full insurance coverage, and day-of coordination.
Are your valets insured and background checked?
Yes. Every team member passes a background check and drug screening. We carry full commercial liability insurance and are bonded, BBB accredited, and Diamond Certified by the American Ratings Corporation.
Do I need to tip the valet staff?
Tipping is appreciated but never required. Some hosts include a pre-paid gratuity in their event package so guests don't need to carry cash. We're happy to set up either arrangement.
Can you handle parking at venues with limited space?
Absolutely. Limited parking is one of the most common reasons clients hire us. We identify nearby overflow lots, design a traffic flow plan, and can add shuttle service to connect remote parking to your venue.
What happens if it rains on event day?
We plan for weather. Our team brings umbrellas, adjusts staging positions for covered areas when possible, and adapts the traffic plan in real time. Rain does not stop us from providing a smooth guest experience.
Do you provide your own equipment?
Yes. We bring everything needed for your event: valet podiums, key lockboxes, directional signage, cones, radios, and lighting. You don't need to supply anything.
